Listed below are various reports that can be used to track payment plans within the Simplee system. We will include the best practices for these reports as well.
- Payment Plan Activity: A list of every payment plan that was changed status during the date range. This report will also show plans with overdue payments.
- This report should be assigned to someone to work on at least a weekly basis. Best practice is to work on this report daily. The report shows completed and new payment plans which are important can be ignored (don’t have to be worked). Payment plans in the overdue status should be worked. Most providers will outbound call the overdue payment plans.
- For a 600 bed hospital, expect about 65-75 overdue payment plans in a month or 3 per business day.
- Status for Payment Plan Activity Report:
- Stopped - Payment plan was stopped. Payment plan can only be stopped by a Back Office user. The name of the person who stopped this payment plan in the report.
- Completed - payment plan was paid completely
- CC About to Expire - email goes out to a patient 7 days before
- Overdue - missed payments
- Modified - payment plan terms have been modified
- Payment Plan Inventory: A list of every payment plan including details for that specific payment plan.
- Why is this report important: This report is used by leadership to understand total A/R in Payment Plans. Using filters/pivot tables in Excel It’s also easy to count how many accounts are fitting into different scenarios. For example, if you want to see how many payment plans have more than 6 payments left, a filter can be put on the Payments Remaining column and then the current balance can be summed.
- Payment Plan Inventory: This report is a list of all of the current payment plans in the system. This includes information about when the plan was created, what the amount was it was created for, if there are missed payments, the amount outside of the payment plan, and more data. This can be very helpful as it is a snapshot of the system and all the payment plans that are currently running.
